Below is the policy regarding the privacy of information collected whilst providing services to customers. Teacup Pictures will obtain customer data only for the purposes of delivering photography services as required to clients and customers. Data not required to deliver these services will not be taken nor stored.
Teacup Pictures will collect the following information from clients and prospective clients: Company name, address and contact phone numbers and email addresses, key contact personnel names and contact details.
I will also collect personal information from customers (ie parents who place orders to purchase photographs, either via the school or nursery or through the website www.teacup-pictures.com and the ordering website www.ordermyphotos.co.uk), in order to correctly print and deliver their chosen photographs. When a user places an order the user will be required to provide information including the name of the customer ordering, email address, delivery address and contact phone number, and a billing address. Your name and address details will be retained on my database in order for me to deliver your order to you and to follow up on any issues regarding your order. Old data which is no longer required will be archived annually.
During your order process (either on order forms or online) you may be asked whether you would like to opt in to receiving marketing messages from Teacup Pictures. Only those who choose to opt in will have their contact details stored for this purpose and can opt out at any time by contacting me directly. Customer details are not shared with third party companies for the purposes of marketing. Teacup Pictures may include offers from relevant third parties within their marketing emails, but never share or sell customer data.
No payment data is stored by me in any form.
All photographs taken by me are stored and backed up on my systems for the purposes of providing my services to you. No personal data is stored with images and any links between image files and customer ordering data is done so via a secure passcode which relates solely to each customer’s photographs only. Where a School requires images for their internal systems, I may store children’s names alongside some images on the secure systems, at their request. This data is only accessible via the school’s internal SIMs systems and my internal management systems and is not shared.
Photographs are stored for up to 3 years due to the possibility of customers requiring further copies of images in the future, after which time they may be archived or destroyed. You may request your images are removed from the system at any time by contacting me directly.
I request permission from customers for the right to use their photographs in marketing and promotional materials, and will only use such images where express permission has been granted.
I will never sell, trade or lease the personal information you entrust to me.
I recognise that some of the information that may have been collected from you will change from time to time. You can change information that you have previously provided or request to remove it from the records by emailing me at sally@teacup-pictures.com or by telephoning me.
I use reasonable security methods to protect the data that resides on the server. However, no security system is impenetrable. I cannot guarantee the security of the servers, nor can I guarantee that information that users supply will not be intercepted while being transmitted to me over the Internet.
